CHIPPING NORTON EVENT HIRE - TERMS & CONDITIONS

 

All online orders are subject to stock availability.

All goods supplied are subject to the following Terms & Conditions:

General:

  • Goods at all times remain the property of Chipping Norton Event Hire.

  • Following the request to hire goods, an Order Confirmation will be sent to the hirer by email. It is the responsibility of the hirer to carefully check the Order Confirmation and immediately notify Chipping Norton Event Hire, in writing, of any error(s).  Chipping Norton Event Hire cannot be held responsible for any unreported error(s).

  • The hire period is for up to 72 hours (3 days) unless otherwise agreed in advance.

  • Our minimum order for delivery is £100 excluding VAT, linen and delivery charges.

 

Payment:

  • Full payment is required 5 days prior to the date of delivery (except when account facilities have been granted by prior arrangement).

  • If full payment has not been received 5 days prior to the date of delivery, Chipping Norton Event Hire reserves the right to cancel such orders and may require payment for up to 50% of the total hire value (including goods, delivery, VAT and any other charges), except when account facilities have been granted by prior arrangement.

 

Order Cancellations:

  • Orders can be cancelled up until 14 days prior to delivery, cancellations after this date will incur an additional charge.

  • Chipping Norton Event Hire reserves the right to charge 50% of the full order value if cancelled within 48 hours of delivery.

 

Delivery & Collection:

  • To allow plenty of time to setup for your event and re-pack your equipment for collection, Chipping Norton Event Hire will aim to deliver your hired items the day before your event and collect the day after. If your event falls on the weekend, Chipping Norton Event Hire will aim to deliver the Friday before and collect the Monday after (unless otherwise arranged).

  • The delivery/collection charges are based on our driver having unencumbered access to a convenient ground floor location, with easy vehicle access.  Items will be delivered to one location and will not be carried upstairs or transported in a lift.  An additional charge may be payable if you require delivery to specific area(s).

  • Please ensure hired equipment will fit through doors as Chipping Norton Event Hire cannot accept responsibility if equipment will not fit.  Aborted deliveries may result in additional charges.

  • Chipping Norton Event Hire provides equipment under the condition that your order is re-packed as supplied, and all goods left where delivered. This is to help ensure our drivers keep to schedule. Failure to re-pack equipment for collection may result in additional charges.  Please note the following:

    • Oak Crossback, Natural Bentwood, Limewash Chiavari Chairs: These will be delivered in stacks of 8 with the seat pads in separate bags. It is the hirers responsibility to position the chairs where required and place the seat pads on them.  Prior to collection all seat pads must be removed and placed into the bags they were delivered in, and the chairs stacked in 8's. Do not stack chairs with seat pads on.  If this is not followed, there will be an additional charge of £40.00.

    • Limewash Louis Chairs:  These will be delivered with covers on and in stacks of 6.  It is the hirers responsibility to remove the covers and position the chairs where required. Prior to collection, the covers must be placed on the chairs and stacked in 6’s, as they were delivered.  If this is not followed, there will be an additional charge of £40.00.

  • The inability to deliver or collect your hire in accordance with your Order Confirmation may result in further charges.

  • We offer ‘Collection & Return’ on small orders only.  For insurance purposes, selected items cannot be collected by clients.

 

Delivery / Collection times and costs:

  • Chipping Norton Event Hire will endeavour to deliver and collect your hired items Monday to Friday between 8 am and 5pm. 

  • Deliveries/collections outside of the above times may be booked for an additional charge - please call the office.

  • If a more specific delivery time is required, an AM (9am-12pm) or PM (12noon-5pm) delivery slot can be booked (subject to availability).  We will endeavour to meet any particular requirements, and, if requested, the driver can call when 30 minutes away.

  • Charges for delivery and collection will be quoted when an order is made.

  • The hirer should ensure that a responsible person is at the delivery address to receive the goods.

  • The hirer must be satisfied before signing to accept the goods that all equipment ordered has been delivered and our attention should be drawn to any miscounts, omissions, wrong deliveries, or damaged equipment within 24 hours of delivery in order that charges may not undeservedly be made. No claims for deficiency or damage can be entertained by Chipping Norton Event Hire unless notified accordingly.

  • Deliveries left unattended at the Hirer's premises are at the Hirer's risk.

  • The hire must be repacked in its entirety on the agreed collection day/time. Failed collections will be charged for.

 

Return Dirty Service

  • You can return your hired items dirty. Plates should be scraped of food debris, glasses should be returned empty and upright in their containers. All table linen hire prices include laundering. Cutlery must be washed or rinsed after use, even if return dirty service has been included. Under no circumstances should scourers or abrasives be used on any hired equipment. Please note non-compliance may result in additional charges.

 

Making Amendments to Your Order

  • You can amend your order at any time up to 7 days prior to delivery of your items. If you are increasing your order, we will do our utmost to accommodate you, please note that this is subject to availability.
     

Price Adjustments for Future Orders

  • Orders placed for the following year may be subject to a price increase of 2-5%.

 

Losses/Damages:

  • All broken, damaged, lost and/or missing items will be charged at the current replacement cost (substitute equipment is not acceptable).  Boxes, crates, seat pad bags and laundry bags will be charged per box/crate/bag if damaged, missing or not returned. We must be notified within 72 hours if any items are still on site or to be returned. After this time the items will be assumed lost, and an invoice will be raised for the replacement cost. An additional collection charge will be applied if collection of missing items is required. 

  • Replacement values may be requested at any time during the hiring process.

  • It is the responsibility of the hirer to keep all goods safe, dry & well packed in one area, to enable the driver to collect on the agreed day. Please note if the furniture gets wet, it will cause irreparable damage as it is not designed for this purpose. Customers will be charged at replacement cost.  Furthermore, if business is lost due to damaged goods, we reserve the right to charge for loss of income also.

 

Responsibilities:

  • The hirer is responsible for any loss or damage to the goods, from time of delivery until Chipping Norton Event Hire collects them.

  • Chipping Norton Event Hire accepts no liability for any injury to persons or property caused by the use of the goods and equipment hired.

  • All equipment provided by Chipping Norton Event Hire is at the Hirer’s risk.  It is the responsibility of the hirer to ensure equipment is used by suitably trained and competent person(s).

  • The hirer shall fully indemnify Chipping Norton Event Hire in respect of any claims by any person whatsoever (including the hirer, his servants, agents or employees) for death or personal injury or damage to property caused by or in conjunction with or arising out of the use of hired items and in respect of all costs and charges arising under statute or common law or otherwise.

  • It is the hirer's responsibility to ensure that the items hired are fully covered by his/her own insurance with regards to theft, loss, damage and public liability risks.

  • Whilst we shall make every effort at all times to carry out all orders accepted, it must be a condition that we shall not be responsible for any loss sustained as the result of delay or non-delivery caused by breakdown, accidents, labour disputes, fire, flood, abnormal weather conditions, or any other causes beyond our control.

  • By accepting these terms and conditions, the hirer declares they have complied with any legal requirements, including but not extensively of insurances, training, Health and Safety etc.

 

Equipment is hired on the above conditions only and the acceptance of equipment is acceptance of our Terms & Conditions.
